Corporate email on external services is always a compromise: someone else’s rules, someone else’s mailbox limits, someone else’s blocking policy. If your company needs email on its own domain that you control yourself, not a third-party support team, setting up a mail server solves exactly that problem. This fits companies that care about controlling their correspondence and staying independent from outside platforms.
What’s included
- Installing and configuring Postfix (handles receiving and sending mail) and Dovecot (stores mail and serves it to users)
- Roundcube web interface for browser-based mail access
- Spam filter setup
- DKIM, SPF and DMARC configuration: these are records that confirm to recipients your email actually came from your domain and wasn’t forged
- Protection against ending up on spam blocklists
- Documentation for the configured system

- Gathering requirements. I clarify your domains, number of mailboxes and approximate mail volume. This determines how I distribute the load on the server.
- Mail server deployment. I install and configure Postfix and Dovecot for your domains and mailboxes.
- DNS configuration. I set up MX, SPF, DKIM, DMARC and the PTR record. Without these, your mail will land in spam or won’t be delivered at all.
- Antispam and web interface. I connect antispam, antivirus and Roundcube so your staff can read mail through a browser.
- Mailbox migration and documentation. I migrate your existing mail (if any) and hand over documentation so you understand how the system works.
What hardware you’ll need
You need a server or VPS (virtual server) with a clean public IP and a configured PTR record: a reverse DNS record that links the IP to the domain, without which mail providers will heavily flag your mail as spam. If you don’t have a server, I’ll pick one for the job and help with renting it.
What gets deployed
Base stack: Postfix, Dovecot, Roundcube, spam filter, DKIM/SPF/DMARC. Depending on the scope and volume, a mailcow-based setup is also an option: a ready-made solution that bundles all these components together and simplifies administration.
What you get in the end
- A working corporate mail server on your own domain
- Configured DNS records that keep your emails out of spam
- Documentation covering what’s set up and how to maintain it

Frequently asked questions
How long does mail server setup take?
2-3 days from the moment I get DNS access and the mailbox list.
Can everything be done remotely?
Yes, all work is done remotely, no physical presence is required.
What if we don’t have our own server?
I’ll pick a VPS option with a clean public IP for your needs, you rent it, and I handle the rest of the setup.
Will you migrate mail from our old system?
Yes, mailbox migration is part of the standard workflow. If you need a large-volume migration of old mail as a separate task, that’s billed as an additional service.
What happens if issues turn up after delivery?
I fix any issues for free within 14 days after delivery. After that, it’s one-off work at an hourly rate or ongoing support on a subscription basis.
Why does mail end up in spam in the first place?
Usually because SPF, DKIM, DMARC and the PTR record are missing or misconfigured. I set all of this up right away so mail providers trust your domain instead of sending your emails to the trash.
